Executive Office Administrative Assistant

The Executive Office Administrative Assistant will report to the Executive Assistant to the Owner. They will assist the Executive Assistant and members of the Executive Team in all facets of administrative responsibilities.

 

General Responsibilities:

  • Assist with vendor orders including submission to vendors and entering information into the merchandising system.
  • Assist with facilitation of International shipments including working with US Customs and overseas freight forwarder.
  • Prepare selling and other reports as needed per Executive Assistant’s instructions
  • Update spreadsheets for Women’s clothing units
  • Verify all order confirmation from vendors, discover and resolve any errors.
  • Assist with handling computer receiving when goods arrive to store.
  • Match invoices to product received and ensure invoices reflect accurate billing terms set up at the time of buying.
  • Assist with administration and submission of Men’s clothing, Men’s made to measure, Women’s trunk show orders and special orders.
  • Handle matching of invoices to special orders
  • Handle return to vendor for all damaged/incorrect items
  • Assist with scheduling of buying appointments
  • Collaborate with Accounting Dept. to resolve domestic and foreign invoices
  • Perform other duties as assigned

 

Qualifications:

  • 1-3 years of related work experience is preferred
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite,
  • Organized with attention to detail
  • Ability to work independently on an assignment
  • Ability to work collaboratively as a member of a team

 

Physical Requirements:

  • Prolonged periods of sitting, standing, and walking
  • Prolonged period of times looking at computer monitors/screens
  • Must be able to read, write & understand the English Language
